QUESTIONS AND ANSWERS: Q: I registered on the google form, now what? (NOTE: You can register ASAP, You can continue to add to your spreadsheet) A: You'll receive two spreadsheets via a link by email. If you have not received it in 48 hours, please email [email protected] to double check your registration. These spreadsheets will be for your General Entries and your Senior Portfolios. You can enter Slide information from your slides once they are ready to update.
Q: I cannot open the spreadsheets, Do I need a google account? A: Yes, you might. Please refer to this great webpage on GCFLearnFree regarding google and gmail accounts.
Q: If there are multiple art teachers at our school do we put all entries together on one ppt and form? A: Each Teacher is asked to register uniquely and to submit their own separate Google slides/PPT/forms. We would also prefer teachers each fill out their invoices separately as well. (If the school is working it as a group, the only teacher to receive recognition will be the teacher who registered.) *This is for tracking and inventory purposes.
Q: WHAT are the entry guidelines for STUDENT WORK? A: ORIGINAL WORK may not be larger than 36" in any 1 given direction. This includes the Mat/Mount! No Glass, No Frames. Wire is not necessary, unless it is a very heavy canvas. Black, Grey, White, Neutral Mats only. General Entries are limited to max 3 per student Senior Portfolios require 6 to complete portfolio. No More, No Less... Selected Senior Portfolios will only display 3 final images for show PER DIGITAL PHOTOGRAPHY: The delivered actual artwork must match the digital submission as closely as possible. If the image is significantly different, it may be disqualified. NOTE: SELECTED WORK MUST BE AVAILABLE FOR ENTIRE EXHIBITION or STUDENT FORFEITS ANY AWARD.
Q: Where do I send it? A: SLIDE SHOWS (and invoices and purchase orders) ARE SHARED VIA GOOGLE DRIVE to [email protected]. Look at the submissions page for step-by-step instructions. There are also tutorials on the home page. If you prefer to go old school you may mail your PPTS are on a USB DRIVE. Again, see submissions page for instructions. The Spreadsheets are automatically updated and saves as entered/edited with internet access (google docs) The final edits will be frozen at Deadline and you will no longer have access.
Q: I don't know my OAEA Membership #? Where Can I find it? A: Contact the NAEA website and log in (if you forget, you can reset your password) Your OAEA membership # will be on your profile page. (Please make this effort on your own, it helps us help you!)
Q: Are seniors who are interested in entering both a portfolio and individual pieces allowed to use the same works in individual submission as they do in their portfolio? A: Yes they can! As long as the senior portfolio $15 and each general entry $3. is covered in the entries. Some folks have asked what the benefit is, and simply, sometimes the judges to NOT accept the entire senior portfolio for the scholarship BUT they may select a strong general entry on its own.
Q: Does the Senior Portfolio count as one of their 3 general entries? A: GOOD question! Based on the wording in the submission checklist, we are going to say no, and that if they have 3 general entries, they can still have 1 senior portfolio based on wording...again as long as all the entries are paid for appropriately.
Q: Does the Senior Portfolio only have to be work created only in their senior year...? A: NO, the work can be from their entire high school career! If they entered a certain piece in general last year, they can't enter it in general this year, but CAN include it in their portfolio. Artwork can be created outside of school as well, these do not necessarily have to be class projects. However, the submission MUST be made on the behalf of an OAEA Educator Member!
Q: Do works in the Senior Portfolio need to be a connected series of pieces? A: No. Students are encouraged to submit a portfolio of their strongest works. Judges are informed that portfoliosmayormay not be a series of connected pieces. The YTIO Committee believes that there is the possibility that students from some smaller schools could be at a disadvantage if the requirement is to submit six connected pieces. Not all smaller schools will have an Advanced Placement program in which students are required to create connected works.
Q: Do the portfolio entries that are not chosen for a portfolio award, go into the General entries or do we need to submit them again as General? Also, will all portfolio works be considered for merit awards? A: Senior work is either accepted or not accepted into show, regardless of the portfolio award. Accepted seniors will exhibit 3 images. However, if a senior portfolio is NOT accepted into the exhibition, it may still qualify as a general entry--but it ONLY if it has been a paid PART of the General Entries and command the $3 entry fee per image. (for example, I do have a senior portfolio, but I'm also entering one of her images also as a general entry and paying the entry fee.)
Q: Can students enter work from private lessons? If so, will they need to enter under member instructor of their public school? A: Unfortunately, this is changing. Works from Private lessons are accepted, however the work MUST be entered on behalf of their High School Art Teacher and the teacher must be a paid member of OAEA. Teachers may be from private or public schools in Oklahoma.
Q: What resolution is a good resolution for making PPTS? A: Honestly, 120dpi to 300 dpi is perfect. Anything over 300 dpi is an excess of memory on the PPT and could hinder the overall file's viewing and judging ability. Q: Is the deadline for Delivery or for Postmark? A: IF MAILING, POSTMARK BY FEB 16th. IF SUBMITTING VIA GOOGLE DRIVE, DEADLINE IS FEBRUARY 18TH AT 7PM. Refer to the SUBMISSIONS PAGE for more info. WE WILL NOT BE ACCEPTING WORK VIA HAND DELIVERY THIS YEAR.
Q: Can students enter multiple senior portfolios? A: We encourage students to submit their very best work in a single portfolio. That said, if a student has enough work and would like to submit a second portfolio, we are fine with that as long as the student pays for each submitted portfolio. (ex: a student with a painting portfolio and a photography portfolio)
Q: How does the Copyright work regarding art? A: There are always inquiries regarding work copied from photography. JUDGES will be under the guidance to disqualify copyrighted materials as much as we possibly can identify. From time to time, some sneak in. All judges decisions are final. We will do our best to find copyrighted materials. Plagiarism is a concern each year. The expectation is that work submitted to YTIO is original work by the students. If you have any doubt whether any entry is original, we advise that you choose not to enter that work. Scholastic Art and Writing has a wonderful explanation addressing these concerns. Q: Is AI generated work accepted? Currently AI generated work is not invited to be entered. Our judging criteria are originality, skill, personal vision and student voice.
Q: Can nudes be accepted? Nudes can be submitted as entries but we will not be able to hang them in the show. Q: Does canvas have to be matted? A: No. It is suggested if the canvas is on the heavy side, or larger size, a wire is necessary.
Q: My senior portfolio was selected. How many works do I deliver, all 6? A: No. You deliver your best 3 of the 6. We only want 3 senior portfolio images from the portfolio for the exhibition.
Q: I did not receive an invoice, what do I do? A: You may DOWNLOAD an invoice on STEP 3: SUBMISSIONS Page...please note to DOWNLOAD, not just open if you wish to use the calculations application in the PDF. Fill invoice out completely to guarantee it will be applied to the correct entry. There is also a tutorial for using the invoice at the top of the home page.
